Notifications

The bell, what it tells you, and announcements

The bell at the bottom of the rail opens Notifications. A red number on it counts what you haven't read. You can also open it from your avatar menu: Notifications. On a phone, it is in the menu sheet. The new phone app has the same list under its Inbox tab, and can tell you on the lock screen when something finished (see below).

What you are told about

  • Mentions and replies: someone mentions you in a comment, or replies to yours. Click it to go to the notebook and the comment. Comments aren't available in notebook chats for now.
  • Status: a source has finished indexing or failed, a connector has finished syncing, or a file was not read because your credits ran out.
  • Announcements: news from the site's administrators, such as a new feature or planned maintenance.

The tabs filter the list: All, Mentions, Announcements and Unread. Mark all read clears the count.

To delete a notification, open its ⋯ menu and choose Delete. Clear all deletes everything on the tab you are on (on Unread, only the unread ones, older pages included), once you confirm. Deleting is for you alone: it goes from your other open tabs and your phone too, and an announcement stays in everyone else's Notifications. A file or sync still in progress stays until it has finished.

Notifications stay in the app: none are sent by email. The results of automations don't come here; with Email me the result on, they come by email instead.

On your phone

The phone app shows the same list under Inbox, with the same tabs, Mark all read and Clear all, and a number on the tab for what you haven't read. Tapping an item opens what it is about: a mention opens the notebook's chat, an announcement follows its link, a credits notice opens Plan and credits. Swipe an item to the left, or press and hold it, to delete it. What you delete on the website leaves the app within a minute.

With the app installed and notifications allowed, your phone can also tell you on the lock screen when something finished while you weren't looking: an answer that took a while, a step waiting for your approval, a Studio output, an automation run, a source, a mention or reply, an announcement, an accepted invite, or credits running out. The line is generic ("Your audio overview is ready") and never shows the content; tapping it opens the right place in the app. Each kind has its own switch under More → Notifications in the app, and the app only asks for permission after your first answer or output, never when it starts.

Announcements

An announcement has a title and a short message, and sometimes a link.

  • Open follows the link: a page in the app opens in place, a web address opens in a new tab.
  • Mark read clears it from the count without opening anything.

An announcement can have an end date, after which it disappears on its own. If the administrators withdraw one, it disappears from everyone's Notifications straight away.

Sending announcements (administrators)

Site administrators have an Announcements page under User settings.

  1. Write a Title and a Message. The message can use a little formatting: **bold**, *italic*, [text](link), and lines starting with - for bullets. The Preview shows it as recipients will see it.
  2. Add a Link (a web address, or a page in the app such as /docs) and an Expires date if you want them.
  3. Under Send to, choose Everyone (every account) or One workspace (that workspace's members only).
  4. Choose Send. It arrives in each person's Notifications at once, unread.

The Sent list shows each announcement, who it went to, and how many have read it (someone who read it and then deleted it still counts). Withdraw takes it out of everyone's Notifications; the record stays in the list.
